Proposals and Signatures

Generate professional proposals, send them to customers, and collect digital signatures.

Generating a proposal

After your estimate is ready, go to the Proposal page. Select how you want pricing to appear to your customer — Full Itemized shows every line item with prices, Grouped by Area shows totals per room or area, and Total Only shows a single project price. Click Generate Proposal. The AI writes a professional introduction, scope of work, and terms in about 30 seconds. Your company name, logo, and contact information appear automatically from your Settings. BidForeman branding does not appear on proposals your customers see.

Sending a proposal by email

Once your proposal is generated, click Send to Customer in the top navigation or at the bottom of the proposal. Enter your customer email address — it may be pre-filled if you entered it when adding the customer. The proposal is sent as a professionally formatted HTML email from proposals@bidforeman.com with your company email set as the reply-to address. Your customer replies directly to you. The email includes the full proposal, scope of work, total investment, and a link to sign digitally.

How digital signatures work

At the bottom of every proposal there is a signature pad. Your customer can sign with their finger on a phone or tablet, or with their mouse on a desktop. When they tap Sign and Accept Proposal, their signature is saved and the job status automatically moves to Booked in your pipeline. You receive a notification and the signed proposal is stored in your job record. The signature includes a timestamp and is legally binding in most jurisdictions — consult your attorney for specifics.

Proposal view options — itemized, grouped, total

Full Itemized shows every line item, quantity, unit, and price. Best for customers who want full transparency and are comparing multiple bids. Grouped by Area shows the scope and total for each room or work area. Good for mid-range projects where customers want to see where the money goes without every detail. Total Only shows a single project investment number with a summary of scope. Best for customers who trust you and just want to know the bottom line. You choose the view before generating — pick the one that fits the job and customer.

What the customer sees

Your customer receives a clean, professional email with your company name and contact information at the top. The proposal includes your introduction, scope of work, investment breakdown, terms and conditions, and a signature section. BidForeman is not mentioned anywhere visible to the customer. The email reply-to is your company email so all responses come directly to you. On mobile the signature pad works with a finger — the experience is smooth and professional.
