How to Estimate an HVAC Job

HVAC estimates range from simple service calls to full system replacements. Here is how to price both accurately.

HVAC service call pricing starts with a minimum charge that covers your dispatch, travel, and minimum labor. Typical residential HVAC minimum charges range from $75 to $150, with additional hourly labor after the first hour or half hour.

System replacement pricing is more complex. Equipment cost is the starting point — the cost of the unit at your supplier pricing. Installation labor accounts for the hours to remove the old system, install the new one, make electrical connections, and test the system. Refrigerant is priced separately. Permit and inspection fees are passed through.

Load calculation — the process of sizing the system correctly for the space — takes time and needs to be priced into the estimate for new installations. Contractors who skip load calculation risk undersizing or oversizing equipment, which creates callbacks and reputation damage.
